Las Vegas Trade Show Rentals: Pallet Furniture Solutions For Large Scale Events

Sin City, the city of lights, the gambling capital of the world. Las Vegas has many nicknames that describe what this city is all about. However, for brands and corporations, Las Vegas is also known as the trade show capital of the world. With some of the largest convention centers in the world and ample hotels to accommodate attendees, the city draws more than 24,000 conferences and trade shows with over 5 million attendees each year.

As a company providing event furniture rentals in Las Vegas, we love the excitement of seeing a tradeshow come to life. We deliver and set up our furniture in various show areas, creating lounges while other trade show rental companies and fabricators erect massive structures and hang signage all around, all building the show from the ground up.

For corporate planners, the ones who are actually in charge of designing and building these trade shows, it can take months to plan. While they have many different layers to deal with, deciding what furniture to rent and thinking about how to pair sofas with armchairs and tables to look cohesive in such a big space can be a time-consuming challenge. This challenge is where renting our pallet furniture makes things much simpler. Planners can choose from various pre-set configurations with different sizes and seating capacities and save time in the process of designing the seating area.

Let's dive deeper into the scale of a tradeshow: Las Vegas conventions are huge and shows can span over multiple halls simultaneously. Within a single tradeshow, you'll find the main exhibit hall with vendor booths, designated food areas serving thousands of attendees throughout the day, keynote areas with stages and front-facing seating, casual break areas for networking or catching up on a few emails, and let's not forget the sponsored lounges where brands showcase their latest offerings.

Each area serves a different purpose and requires different seating solutions - either tiered bleacher seating for the keynote area, communal lounges for networking, and large-scale seating pods for the main areas of the floor. But how does an event planner make sure the furniture stays cohesive throughout the entire floor and provides sufficient seating for large crowds? Placing a vignette of a sofa with a coffee table and two armchairs seems limited in capacity. This is where our Pallet furniture rental can come in handy, saving time in the planning process and offering a cohesive look all around.

The Pallet lounges have a cohesive look, regardless of the configuration: they are all built from the same type of wood and feature the same size cushions. The lounges can be adjusted in size to accommodate large footprints, and their communal and casual feel encourages guests to sit closer together, allowing for increased seating capacity. We expanded on this in our previous blog post, discussing how the Pallet lounges resemble the tech culture environment and promote collaborative, boundary-breaking vibes. When choosing tradeshow furniture rentals in Las Vegas, there are many different items to consider, from sofas and ottomans to coffee and side tables, and coordinating these pieces together can be very time-consuming. The pre-set Pallet furniture rental configurations eliminate complexity, giving planners the option to choose a complete configuration based on their needs—and rent it as is, ready to go. Some of the pallet configurations work well for keynotes (The Bleacher Pallet), while others are ideal for networking (The Multi-Level Lounge). Each configuration is tailored for a different space and purpose. Once planners share floor plans with us, indicating where the lounges will be placed, we usually set up the configurations without too much guidance, allowing the planner to focus on other tasks.

Our Pallet Furniture Rental Configurations in Las Vegas: What do we offer, and how to use the different configurations at events?

Our Las Vegas event furniture collection includes a variety of pallet furniture configurations, from Pallet beds fitting for a couple to large lounges fitting over 30 guests. They are ideal for trade shows, summits, corporate conferences, and even music festivals. Here's a breakdown of our top configurations and examples of how to use them at events:

The Island Lounge

An 8'x8' lounge with an elevated center and continuous cushioned seating all around. The elevated center provides space to place accent pillows and lets planners add decor items like plants or signage. Since The Island Lounge has seating all around, it's an ideal lounge for open spaces where guests flow from different directions.

The Multi-Level Lounge:

One of the larger lounges, the multi-level lounge, measures 8'x24' and has a mix of seating heights. Since it can seat a large number of guests (between 20-30), it's a piece usually set in open spaces where networking and casual connections are likely. It's casual feeling makes it a favorite for themed spaces at a conference like an outdoor area or a "Block Party" type area.

The Sideline View Lounge

The Sideline View lounge features a 24' linear lounge with an elevated back that allows planners to add plants and decorative items. It's a piece that works well when placed by walls or in isles where there is a need for seating, but the space is limited. They are also great when placed back to back, creating a mirrored setup that can accommodate guests on both sides. The Sideline View lounge can be rented as is but can also be customized to a shorter or longer version. Its original size sits up to 12 guests.

The U Shape Lounge

The U-shaped lounge is a large 20'x24' lounge built in as a "U," with different heights throughout the structure. Event planners often rent this lounge for VIP areas, where the shape of the lounge complements the existing space, like a square tent or a large room with three walls and an opening on one end. Planners can also request to customize the size of the structure, when needing to fit an exact tent size.

  • Seating Capacity: 30-50 Guests

  • Customizable: Yes

The L Shape Lounge

The L Shape lounge, similar to the U-shaped lounge, is built as its name implies. It's an L-shaped lounge that can be placed in a corner of a space, offering seating for smaller groups of 10 to 12 guests. The lounge is 12’ by 8’ and can also be customized, with each side of the L being longer in length (for example, making one side 16’ instead of 12’). It also features an elevated back that can be used to add decorative elements, signage, or plants.

  • Size: 8’x12’

  • Seating Capacity: 10-12

  • Customizable: Yes

The Bleacher Lounge

The Bleacher Lounge is one of our newest configurations. It's a 24-foot-long structure with tiered levels offering an ample amount of seating for guests (up to 30 guests). The Bleacher Lounge works for creative speaker-style environments when planners want to create a space with elevated seating. It also serves as a centerpiece at the tradeshow, drawing guests to climb up, find a spot, and sit with other attendees, either during their lunch break or to mingle and chat. Placing this lounge by a wall displaying the trade show's brand or message is a great way to enhance the space and make it a striking visual statement.

  • Size: 12’x24’

  • Seating Capacity: 30-45 Guests

  • Customizable: Yes

How do our Pallet Furniture configurations look at Las Vegas trade shows? Let's look at a few examples:

The Bleacher Pallet Lounge for Elevate 2025 at the Venetian Expo served as a striking focal point for this tech conference, which took place in April at the Venetian Expo in Las Vegas. Our clients strategically had us place the Bleacher in front of a branded wall, with seating cushions matching one of the trade show's leading colors. The wall showcased the event's tagline with plants placed on both sides of the bleachers, making it an Instagram-worthy networking hub that drew attendees throughout the day.

The Sideline View lounges for the conference's cafe area using custom-length lounges with brand-matching cushions at all four corners of the square-shaped cafe area. Using other types of Las Vegas trade show rentals might have crowded up the cafe area, so the linear design of the Sideline lounge worked seamlessly with the overall layout. The lounges utilized only a small portion of the floor, leaving enough room for branded signage between each lounge, maximizing both seating capacity and brand visibility.

Trade shows will always need traditional seating, and event furniture rentals in Las Vegas will always include items like barstools for vendor booths or bistro tables for attendees' lunch breaks. However, in the last few years (maybe the pandemic contributed to this?), a new trend has emerged - a need to create a more casual lounge that promotes openness, inclusivity, and connectivity.

This shift translated into furniture pieces with fewer armrests that can connect seamlessly to create a continuous setup where guests feel more "together" when networking. Pairing this trend with the need for large-scale seating in a trade show makes our Pallet furniture rentals a solution that covers both.

We showcase a few of these trends in our latest 2025 Event Trends Report, particularly the "Modern Bleachers" and "Conversation Pods," which have enabled this type of meaningful connection to flourish in corporate events.

How can we help in the planning process?

On our Website: To make the planning process as smooth as possible, we provide as much information as possible on our website about our furniture rentals. Each product page includes dimensions and images, and our Instagram and Pinterest accounts display additional inspirational pictures. Our event gallery page features a filter option, allowing visitors to filter images by collection, making it easier to view specific items.

While designing the floor plan: Our collection is designed using SketchUp, and we are happy to share our furniture models with the event planners' design team and floor planners. Since the furniture models are to scale, they can be dropped directly into an AutoCAD or SketchUp file, creating an overall floor plan that both our teams can reference throughout the planning process.

During Delivery: Having a shared floor plan helps our team deliver and install the furniture smoothly, on time, and with minimal contact between our delivery team and the planner. With a floor plan, our team knows where to place the lounges and can coordinate logistics efficiently. We consistently hear from planners about how this attention to detail transforms what's usually considered a massive logistical challenge into a seamless process.

Trade shows in Las Vegas require furniture lounges that can accommodate a high volume of guests flowing in and out, while maintaining a cohesive look that aligns with the latest trends and needs - this is what we hope our pallet furniture rental configurations offer. From the Bleacher Lounge creating Instagram-worthy focal points to the Multi-Level Lounge with its casual approach, each configuration has a unique style, can seat a large number of guests, and together create a cohesive look.
